Privacy Policy for PRO X STUDIOS

1. Introduction and Scope

This Privacy Policy describes how PRO X STUDIOS ("we", "us", or "our") collects, uses, and protects the personal information of users accessing our educational applications and websites. We are committed to safeguarding your privacy and processing your data in accordance with the Protection of Personal Information Act (POPIA) of South Africa.

2. Information You Actively Provide

We collect information that you voluntarily provide to us when interacting with our services:

  • Account Registration: To create a MyPapers account, we collect your name or nickname and a valid email address. Sign-in may be provided through Firebase Authentication and supported identity providers.
  • Educational Profiling: We may collect responses to subject proficiency questionnaires to uniquely cater the educational experience to the learner's needs.
  • Product Feedback and Contact Forms: If you choose to share feedback about what MyPapers should build next or contact us, we collect the details you submit, which may include your name, WhatsApp number, subject interests, and device preferences.
  • Financial Information: If you purchase a premium subscription, your payment details (such as official first and last names) are collected directly by our secure third-party payment vendors. PRO X STUDIOS does not collect or store your sensitive credit card or banking information.

3. Device Permissions and Access

To provide our core educational features, including AI assistance, our applications may request your permission to access certain device functions. You can enable or disable these permissions at any time through your device settings:

  • Camera and Photo Library: We may request access to allow users to scan, upload, or take pictures of educational problems, homework, or past papers for AI analysis.

4. Automatically Collected Technical Data

When you access our applications or websites, we automatically collect certain technical data for analytical purposes to maintain and improve our services. This includes:

  • Device Information: Your device type (e.g., iOS or Android), operating system version, and unique device identifiers.
  • Usage Data: Diagnostic data, crash reports, and information on how you interact with the app's features.
  • General Location Data: We collect your general regional location derived from your Internet Protocol (IP) address. We do not track or collect precise GPS location data.

5. Cookies and Tracking Technologies

Our websites and applications utilize cookies, tracking pixels, and similar technologies.

  • We use these tools to analyze site traffic, understand user navigation patterns, and evaluate the effectiveness of our marketing and promotional campaigns.
  • You can instruct your browser or device to refuse all cookies or to indicate when a cookie is being sent; however, disabling cookies may limit your ability to use certain features of our platforms.

6. Purpose of Data Collection

We use the information we collect to operate, maintain, and provide the features and functionality of the PRO X STUDIOS applications. Our primary goals in processing your information are to:

  • Create and secure your account.
  • Provide seamless access to free and premium educational content.
  • Diagnose technical issues and improve platform performance.

7. Educational Personalization and Content Generation

PRO X STUDIOS is designed to adapt to the individual needs of the learner. We utilize your past interactions, assessment results, and subject proficiency data to:

  • Automatically recommend specific tutorials, study materials, and past provincial or national assessment papers.
  • Provide adaptive practice recommendations and respond to learner-initiated myTutor requests.

8. Artificial Intelligence (AI) Processing

Learner-initiated myTutor and assessment-support features use OpenRouter to route requests to third-party Artificial Intelligence (AI) model providers.

  • When you submit a text prompt or upload an image of a maths problem, the relevant input and limited learning context are transmitted through OpenRouter to a selected model provider to generate the requested response.
  • MyPapers requests that OpenRouter route learner content only to providers that deny data collection for model training or non-transient retention. OpenRouter still processes request metadata such as token counts, model, and latency.
  • The text of a learner's message and the tutor response may be retained in the learner's account conversation history until the learner deletes the conversation or requests account deletion.

8.1 Homework Photos

  • When you attach a homework photo in myTutor, the raw image is stored in account-scoped secure storage and used to prepare your tutor response.
  • We remove the raw image after the response where possible. Any remaining raw homework upload is covered by the storage lifecycle policy and is scheduled for automatic deletion within seven days.
  • The conversation may retain the text of your message, the tutor response, and limited attachment metadata. The raw image is not intended to be permanent conversation content.
  • Please avoid including names, contact details, school details, or another person in an uploaded image.

9. Communications Policy

We respect your inbox. The email address you provide during account registration will be used strictly for essential account operations.

  • No Marketing: At this stage, PRO X STUDIOS does not use your email address or personal information to send promotional materials, marketing campaigns, or special offers.
  • Essential Communications: We will only contact you regarding critical account security notices, password resets, billing receipts, or significant updates to our Terms and Conditions and Privacy Policy.
  • Requested Product Feedback Contact: If you separately submit feedback or request updates, we may use the contact details you supplied to respond about the subjects, devices, or product improvements you selected.

10. Service Providers and Analytics

PRO X STUDIOS does not sell, rent, or trade your personal information to third parties. We only share necessary information with trusted vendors who assist us in operating our platforms and conducting our business. These partners are bound by strict confidentiality agreements and include:

  • Google Firebase and Google Cloud: Account authentication, database and file storage, Cloud Functions, push notifications, and crash diagnostics.
  • OpenRouter and routed AI model providers: Processing learner-initiated tutor and assessment requests under the data-collection restriction described above.
  • Google Play, PayFast, and Ozow: Subscription or payment processing where the relevant option is offered. PRO X STUDIOS does not store card or online-banking credentials.
  • Vercel and Resend: Website hosting and transactional emails, including account-deletion confirmations.

11. Legal Disclosures and Law Enforcement

We reserve the right to access, preserve, and disclose your personal information if we reasonably believe it is necessary to:

  • Comply with South African law, legal processes, court orders, or subpoenas.
  • Respond to lawful requests from law enforcement or other public authorities.
  • Enforce our Terms and Conditions, investigate potential violations, or protect the rights, property, or safety of PRO X STUDIOS, our users, or the public.

12. Business Transfers and Acquisitions

As PRO X STUDIOS continues to grow, we may undergo corporate changes such as a merger, acquisition, reorganization, or sale of assets. In such events, user data—including personal information and educational analytics—is typically considered a transferable business asset. You acknowledge and agree that your information may be transferred to the acquiring entity, provided that the new entity agrees to adhere to the material terms of this Privacy Policy.

13. Data Security Measures

PRO X STUDIOS takes the security of your personal information seriously. We implement reasonable, industry-standard technical and organizational measures to protect your data against unauthorized access, loss, destruction, or alteration.

  • This includes utilizing Secure Socket Layer (SSL) encryption for secure data transmission.
  • We also rely on the robust, enterprise-grade security protocols and infrastructure established by our trusted third-party hosting vendors.
  • While we strive to use commercially acceptable means to protect your personal information, no method of transmission over the internet or electronic storage is 100% secure, and we cannot guarantee its absolute security.

14. User Rights and Data Management (POPIA)

In accordance with the Protection of Personal Information Act (POPIA), users have specific rights regarding their personal data, including the right to request access to, correction of, or permanent deletion of their personal information held by PRO X STUDIOS.

  • Submitting a Request: To exercise any of these rights, users can submit an account deletion request through our account deletion form or email our support team at support@proxstudios.co.za.
  • Processing: We verify account ownership before deletion. Once verified, we delete or anonymise associated active account data without unreasonable delay and notify the requester when the process is complete.
  • Limited Retention: Transaction, fraud-prevention, security, legal-hold, backup, and deletion-audit records may be retained only where necessary for the applicable purpose. Access is restricted, unnecessary personal fields are removed where practical, and each exception is documented.
